Personal Assistant with Accounting Background

Job Summary:


We are seeking a highly organized and detail-oriented Personal Assistant with a strong accounting background to support our executive team. The ideal candidate will possess exceptional time management skills, a proactive approach to problem-solving, and the ability to carry out accounting breakdown. This role requires a blend of administrative support and financial acumen, making it crucial for maintaining smooth operations and project within our organization.

Responsibilities:

Administrative Support:

  • Manage calendars, appointments, and travel arrangements for executives.
  • Handle correspondence, emails, and phone calls with professionalism and discretion.
  • Organize meetings, prepare agendas, and take accurate minutes when required.

Accounting Tasks:

  • Perform bookkeeping duties such as accounts payable/receivable and payroll processing.
  • Reconcile bank statements and monitor financial transactions.
  • Prepare financial reports, budgets, and forecasts under the guidance of senior management.

Data Management Tasks:

  • Maintain and update financial records and databases.
  • Organize and file financial documents and reports for easy access and retrieval.

Communication and Liaison:

  • Serve as a point of contact between executives, clients, and stakeholders.
  • Communicate effectively and professionally in person, over the phone, and via email.

Research and Analysis:

  • Conduct research on various topics related to business operations and finance.
  • Assist in analyzing financial data and preparing reports for decision-making.

Requirements:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • 5 – 10 years of experience as a Personal Assistant or similar role with a focus on accounting experience.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and MS Office Suite (particularly Excel).
  • Strong organizational skills with the ability to prioritize tasks and manage time efficiently.
  • Excellent verbal and written communication skills.
  • Discretion and confidentiality when handling sensitive information.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Skills:

  • Certification (e.g., CPA, CMA) or working towards certification is a plus.
  • Familiarity with project management tools and software.
